Vibecoding (AI-assisted development) can speed up your business system. But it's not magic. Here's how to use it without breaking everything.

Why AI Coding Looks Easy and Isn't

I've watched business owners get excited about ChatGPT, Claude, and other AI coding tools. The pitch is seductive: 'Tell it what you want, get working code.' The reality is messier. AI can draft code fast, but it hallucinates requirements, misses your actual workflow, and generates bugs that feel invisible until they cost you money. I've inherited projects where someone used vibecoding to build a 'quick system,' and it took me twice as long to untangle it as it would have to build it right the first time.

That said: AI coding isn't useless. When you know what you're doing, it's a real productivity boost. The trick is discipline. Here's how I'd approach it if you're not a developer.

Step 1: Define Your Process First—On Paper

Before you write a single prompt, map what actually happens in your business. Not what you think happens. What really happens. If you're building a CRM or a POS system, trace a real customer journey or transaction from start to finish. Write it down. Note every decision point, every data field you need, every place where someone picks up the phone or checks a spreadsheet.

This step is not optional. AI will happily code something that looks great but doesn't match your reality. A vague prompt like 'build me an order system' produces vague, broken code. A detailed spec—'when a customer orders via WhatsApp, I need to capture their name, phone, product ID, quantity, and payment method, then add it to a list I can export to Excel or send to my warehouse'—gives AI something real to work with.

Step 2: Start With One Module, Not Everything

Pick the smallest, most isolated piece of your system. Not the whole CRM. Maybe just the part that captures a customer order. Build that, test it, make sure it actually works. Then move to the next piece. Vibecoding is excellent at small, focused tasks. It falls apart when you ask it to hold the entire architecture in its head.

This also means you catch problems early. If AI generates code that doesn't fit your workflow, you know it now, not after six weeks of wasted time.

Step 3: Use Version Control (Git) From Day One

You don't need to be a developer to use Git. Create a free GitHub account, learn to commit changes, and keep a history. Why? Because AI will confidently generate code that breaks something you didn't notice. With version control, you can revert. Without it, you're flying blind. There are free tutorials everywhere; spend an hour learning the basics. It will save you.

Step 4: Test With Real Data, Not Pretend Data

AI loves generating code that works on toy examples. It falls apart on messy, real data. Before you trust your system, run it through actual transactions from your business. Use real customer names, real product lists, real payment amounts. You'll find edge cases and stupid bugs that AI didn't think of. This is where the actual debugging happens.

Step 5: Know When to Call a Professional

Here's the honest part: some problems aren't worth solving with vibecoding. If you're building something that touches payments, security, or critical business data, or if it needs to talk to other systems (your bank, your supplier, your accountant), you need someone who understands the full picture. AI can help speed it up, but it shouldn't be the only brain in the room. I've seen AI-generated payment integrations that look correct but leak customer data or fail silently.

Build your process map, start small, use version control, test with real data. If you hit a wall or need to connect multiple systems, bring in someone who's built this before.
