The POS Trap: Features Over Function

I've watched small business owners in Mexico spend money on POS systems loaded with features they never use. Fancy loyalty programs that sit dormant. Analytics dashboards gathering dust. Integrations with platforms they don't work with. Meanwhile, the stuff they need every day — reliable inventory, clean invoicing, fast payments, offline mode when the internet drops — gets treated like an afterthought.

Choosing a point of sale isn't about what sounds impressive in a sales pitch. It's about what solves your actual problem: ringing up sales, tracking stock, issuing legal invoices, getting paid, and keeping the business running when things break.

The Core Five: What Your Business Really Needs

1. Inventory That Works

If you're managing stock in a notebook or a spreadsheet, a POS without solid inventory will frustrate you fast. You need:

  • Real-time stock updates when you sell something
  • The ability to track multiple locations if you have them
  • Low-stock alerts so you don't oversell
  • Simple cost tracking so you know your actual margin

This isn't fancy. It's survival. When inventory is wrong, everything breaks — you lose sales or you overstock and bleed cash.

2. Legal Invoicing (CFDI)

In Mexico, a receipt is not an invoice. You need CFDI-compliant documents for tax purposes, and your POS must handle this without forcing you to jump through hoops. Check:

  • Can it generate valid CFDI invoices automatically?
  • Do you need a separate service, or is it built in?
  • What's the per-invoice cost, if any?
  • Can your accountant easily import the data?

A POS that makes invoicing painful will cost you time and money every single day.

3. Payments That Don't Leak Money

This is where most businesses lose margin. Your POS needs to accept:

  • Card payments (debit and credit)
  • QR codes (Mercado Pago, OXXO, bank transfers)
  • Cash
  • Digital wallets if your customers use them

Every payment method you can't process is a lost sale or a customer who leaves annoyed. Also check the commission rates — 2% feels small until you do the math on your annual volume.

4. Reports That Tell You Something

You don't need a 50-page analytics suite. You need to answer three questions fast:

  • How much did I sell today? This week? This month?
  • Which products are my winners?
  • What's my cash position right now?

If your POS takes five clicks and a coffee to pull a basic sales report, it's not built for your workflow.

5. Offline Mode (Critical in Mexico)

Internet cuts out. Your POS must keep working. This isn't optional — it's essential. The system should:

  • Keep processing sales when the connection drops
  • Sync automatically when you're back online
  • Never lose a transaction

I've seen businesses lose an entire day of sales because their POS went offline and they had no backup. Don't be that story.

The Checklist: Before You Buy

Use this before signing any contract:

  1. Does it handle inventory in the way you work today?
  2. Is CFDI invoicing built in, not bolted on?
  3. What payment methods does it support, and what are the real costs?
  4. Can you get a basic sales report in under a minute?
  5. Does it work offline and sync reliably?
  6. What's the monthly cost, and what happens if you cancel?
  7. Does your accountant or tax person recognize it?
  8. Is there actual phone or chat support in Spanish?

The Honest Truth
